Privacy notice
Last updated: 27 October 2026
The Ready Pool (“TRP”, “we”, “us”) is a career-intelligence and job-matching platform operated by Sminetech Solutions Pvt. Ltd., Unit 2 & 3, 4th Floor, Kalpataru Prime Business Park, Plot D3, Road No. 16, Wagle Estate, Thane (West), Maharashtra 400604, India. This notice explains what personal data we collect, why, how long we keep it, who we share it with, and the rights you have. It is issued in line with the Digital Personal Data Protection Act, 2023 (“DPDP Act”) and the Information Technology Rules, 2011. By using TRP, you agree to this notice.
1. Who we are (the data fiduciary)
Sminetech Solutions Pvt. Ltd. is the data fiduciary responsible for your personal data on TRP. Our registered office is at Unit 2 & 3, 4th Floor, Kalpataru Prime Business Park, Plot D3, Road No. 16, Wagle Estate, Thane (West), Maharashtra 400604, India. You can reach us about privacy at grievance@thereadypool.com.
2. What we collect
- Account data: your name, email address and a hashed password. Required to create and secure your account.
- Profile data you provide: experience, education, skills, certifications, location, headline, salary expectations and résumé content.
- Activity data: jobs you view, save and apply to, saved searches, messages, and the status recruiters set on your applications.
- Recruiter/organisation data (for hiring accounts): company details, job postings and team members you add.
- Technical data: limited log information (such as IP address, device/browser type and timestamps) needed to run the service securely and prevent abuse.
We do not use third-party trackers or analytics cookies, and we do not knowingly collect data from anyone under 18.
3. Why we use it (purpose & lawful basis)
We process your data to: create your profile and compute your TRP score against live market demand; match you with relevant jobs and surface you to verified employers you choose to be discoverable to; operate applications and messaging; keep the platform secure; and communicate service updates. Our lawful basis is your consent (which you may withdraw at any time) and, where applicable, the performance of our contract with you and legitimate uses permitted under the DPDP Act.
4. Résumé processing
When you upload a résumé, we parse it on our own systems (no third-party AI service) to extract structured fields (experience, skills, education, certifications) that pre-fill your profile for your convenience. The raw file is stored securely in our object storage so that you — and the recruiters and employers you allow — can download it (see “Who can see and download your data” below). It is deleted when you remove it or delete your account.
5. Who can see and download your data
The core purpose of TRP is to help you get hired, so your profile and résumé are made available to hiring parties for recruitment.
- Recruiters, employers & hiring organisations on the platform: registered recruiters, companies and their authorised hiring-team members can view and download your profile and résumé/CV for recruitment and hiring purposes — to evaluate you, shortlist you, contact you and share your profile within their hiring team for a role. You control your profile visibility and a résumé-download setting, and you can make your profile private, restrict downloads, or delete it at any time.
- Service providers (data processors): a small set of vetted providers strictly to run the service — cloud hosting and database, Cloudflare (R2, for secure file storage), and our email-delivery provider. They act only on our instructions and may not use your data for their own purposes.
- We do not sell your personal data and we do not share it with advertisers. Recruiters and companies receive your data only for genuine hiring use and are contractually bound (see our Terms) not to scrape, resell or misuse it.
6. How long we keep it
We keep your personal data for as long as your account is active. If you delete your account or ask us to erase your data, we remove your personal data within 90 days, except where we are required to retain certain records to comply with law, resolve disputes or enforce our agreements. Backups are purged on a rolling cycle.
7. How we protect it
We use HTTPS/TLS in transit, encryption at rest for stored files and databases, hashed passwords, role-based access controls, and short-lived signed links for file downloads. No system is perfectly secure, but we take reasonable technical and organisational measures to protect your data and will notify you and the relevant authority of a personal-data breach as required by law.
8. Your rights
Under the DPDP Act you have the right to:
- access and obtain a summary of the personal data we hold about you;
- correct, complete or update inaccurate data — most of which you can do yourself in your account settings;
- erase your data and delete your account;
- withdraw your consent at any time (this won't affect processing already carried out);
- nominate another individual to exercise your rights in the event of death or incapacity; and
- register a grievance with us (see below).
You can manage most of this directly in your account, or contact us via our contact page.
9. Cross-border transfers
Some of our service providers process data outside India. Where that happens, we only use providers that offer appropriate safeguards, and we transfer data only to the extent permitted under applicable law.
10. Cookies
We use a single first-party cookie to keep you signed in. We do not use third-party trackers or analytics cookies.
11. Changes to this notice
We may update this notice from time to time. We'll change the “last updated” date above and, for material changes, notify you in-app or by email.
12. Grievance Officer
In accordance with the DPDP Act and the IT Rules, 2011, you may contact our Grievance Officer for any concern about how your personal data is handled:
